Share a template with vendors, clients, or outside contractors so they can submit work orders via link or QR code.
Note: Customization is only available in no-code workflows. If your workflow doesn’t have these options, you can reach out to our team to discuss migrating to one that does.
At this time, customization features are only supported on Desktop. Please log in to your Coast at app.coastapp.com.
Step 1: Create an External Work Order
- Click the workspace title at the top of your screen.

Select External Forms.
- Use the default template or click Create New.
- To duplicate an existing template, click the three-dot icon next to it and choose Duplicate.

Open the External Work Order form and go to the
Settings page:
- Rename it by editing Template Name.
- Hide fields you don’t need by toggling off Show Component in View.
- Add pre-filled responses by entering text or tags in Prefill Text or Prefill Tags.
- Important: Keep the Requestor Email field visible if you want requesters to receive status updates.
- Click Save > Save for Everyone (top right) when you’re done.
Step 2: Share an External Work Order
- Find your External Work Order and click the three-dot icon next to it.
- Select Share.
- Toggle Create Public Link to On. A QR code and a Copy Link button will appear.

Share it your way:
- Click Copy Link to copy the URL to your clipboard, or
- Right-click the QR code to save and share the image.
Tip: Add the public link to your website or print
the QR code for signage in high-traffic areas.
