Email Parts Alert for Parts Inventory

Stay on top of your team's parts inventory needs. Receive email alerts that notify you when a part goes below your set minimum to remind you to reorder or restock parts.

Note: In order to set up this feature, you must specify an Initial Quantity when creating a new part. Check out Coast’s Help Center for more information on creating a new part.

  1. From the home screen, select the Parts Inventory workspace. 
  2. Select a part you want to receive email alerts for.
  3. Enter the minimum amount of parts required in the Minimum on Hand field ; the email alert will trigger if the stock falls below this amount.
  4. Add email address(es) you'd like the alert to be sent to in the Email Parts Alert To field. For multiple email addresses, separate them with a comma and a space (e.g., name@gmail.com, name2@gmail.com).
  5. Press Save Screenshot 2024-12-07 at 4.29.26 PM.png.
  6. To see this in action, go to your Work Orders workspace. Click on an existing work order, or create a new one.
  7. Scroll down, and click the Add Parts to Work Order field . Select the part that is being used. When parts are used inside a work order, they will automatically be deducted from the parts inventory. Adjust the quantity of parts, if necessary.
  8. Press Save Screenshot 2024-12-07 at 4.29.26 PM.png. If the quantity used falls below the set minimum, an email alert will be sent to the specified email address(es).
